Frequently Asked Questions about SmartVault Pricing
I want to test a Professional Plan, but am not ready to enter my credit card information. What are my options?
All of our plans come with a 30 day no risk period. We recommend you sign up for the Professional Plan on a monthly billing cycle, and use the one-month trial period to ensure it meets your requirements. If you cancel prior to the billing date your credit card will not be charged. This will allow you to test the full features of any plan without risk. Canceling your account is as easy as clicking a button in the Web portal.
What is the difference between a Full Access User, a Client, and a Guest User?
A Full Access User is the most flexible license type, and can access the SmartVault Portal, the Desktop Software, and can be granted administrative privileges for inviting users and managing security. Clients can have access to the SmartVault Portal and Desktop Software, but cannot be granted administrative privileges. Guests have access to the SmartVault Portal only, and cannot use the Desktop Software or be granted administrative priviliges. For a detailed overview of SmartVault User licensing, click here.
What is a Guest license?
Guest licenses are designed to allow for one or two way Web Portal interactions. If you have a user who needs to receive or transmit files to you over the Web securely, this license will suit your needs. For a detailed overview of SmartVault User licensing, click here
If I sign up for an Individual Plan, can I add more users in the future?
In order to add Users to the Individual Plan, you will need to upgrade to the Team or Professional Plan, or add a Client User Pack. You cannot add Full Access Users to an Individual Plan.
How are the document counts calculated in your size limitations? (56,000 for the Team Plan and 112,000 for the Professional Plan)
This is based on an assumption of 250KB per document. Most documents are considerably smaller than this so you will likely get many more unless you are loading large image or movie files. Those files can change the numbers considerably.
Can I add additional space if needed?
Yes, you can add storage space to any Individual, Team or Professional plan for $2 per GB per month. If you are using a Lite plan, you will need to upgrade in order to add more users or storage. In addition, when you add users to the Team or Professional plan, your storage limits will increase by 2GB per user. Adding a Client User to any paid plan will also increase your storage limit by 2GB per client.
What happens if I go over my storage limit?
The system will prevent you from loading in documents that carry you over your limit until you upgrade, add storage or users, or remove documents.
I am an accountant who does bookkeeping for a client and we are going to share QuickBooks files. Does my client need his or her own account, or should I add them as a Client User on my account?
Depending on the client and how they intend to use the system either way might be appropriate. The account holder becomes the billing entity. If your client is going to use this system to share documents internally, attach files into QuickBooks and share with external guests like their bankers or auditors it might make sense for them to have their own account. If this is the case they will likely require a level of control and administration that a Client license would not provide. However, if your client only wants to share QuickBooks files with you or members of your accounting firm, a Client User license should suffice.
